Archiving and Digital Preservation Policy
1. Purpose
This policy establishes Ho Chi Minh City Open University Journal of Science (HCMCOUJS) commitment to ensuring long-term access, preservation, discoverability and integrity of published scholarly content.
2. Materials Covered
HCMCOUJS may preserve:
- published articles;
- metadata;
- DOI records;
- supplementary materials;
- correction notices;
- retraction notices;
- editorial notes;
- expressions of concern;
- issue files;
- journal policies;
- author guidelines.
3. Version of Record
The published Version of Record is the authoritative version for citation, indexing, archiving and long-term preservation.
The current HCMCOUJS ethics policy also identifies the Published Version of Record as the official scholarly record and the sole version to be cited when handling post-publication matters.
4. Preservation Mechanisms
HCMCOUJS may use:
- OJS archive;
- institutional repository;
- DOI and metadata registration;
- backup systems;
- LOCKSS/CLOCKSS or equivalent preservation systems where available;
- national or institutional digital preservation infrastructure;
- indexing and abstracting services.
5. Integrity of Archived Content
Archived content must preserve:
- article title;
- authorship;
- DOI;
- publication date;
- volume/issue/page or article number;
- license information;
- correction/retraction status;
- metadata history where applicable.
6. Preservation of Notices
Correction, erratum, corrigendum, expression of concern, editorial note and retraction notices must remain accessible and linked to the original article.
